On the Automation Settings page (Digital Passes > Automation), you will see the option to Disable auto-send for gift memberships. Selecting this option will stop the Install Email from automatically sending to any gift membership recipients. This includes gift memberships processed via both the XTL Online Portal and Altru (Back Office, Advance, or Daily Sales).
What happens when auto-send is NOT disabled for gift memberships?
- Customers who purchase gift memberships via the XTL Online Portal will be able to select a digital pass send-date for gift recipients. The install email will automatically be sent on the date selected. You may also choose to configure a special install email template for gift memberships, please read more here: Gift Membership Install Email Template.
- If a gift membership is processed via Altru, gift recipients will receive the digital pass install email on the day the membership is processed.
What happens when auto-send is disabled for gift memberships?
- Customers who purchase gift memberships via the XTL Online Portal will be able to select a digital pass send-date for gift recipients. This date will be saved in Altru as a Sales Order Note. The install email must be manually sent by a staff member.
- If a gift membership is processed via Altru, the install email must be manually sent by a staff member. We recommend using the "Comments" box during a membership purchase via Altru Back Office or Daily Sales to track the digital pass send-date, since this can be done during time of purchase. If you would like to manually send gift memberships processed in Altru in bulk, you could opt to use the Existing Members process found under Digital Passes > Automation. Keep in mind that the Existing Members process will send a digital pass to ALL members who have not received one for a particular template.
Where can I view send-dates for gift memberships purchased via the XTruLink Online Portal when auto-send is disabled?
The dropdown menu below the Disable auto-send option in XTL will designate the Sales Order Note Type in Altru. You may use an existing note type, or add a new note type in Altru via Code Tables (Category: Ticketing, Code Table: Sales Order Note Type).
Note: If you add a new Note Type in Altru, please allow a few minutes for the type to show in XTL.
