When scanning tickets or memberships in XTAC web or mobile, you must select an Attendant Mode to determine scanning options. Attendant Modes are set up in XTruLink via the Access Control menu. 

Before configuring your Attendant Mode, you must configure three profiles:

  1. Member Access Profile - designates allowed membership levels when scanning membership cards
  2. Member Entry Profile - designates price types for member check-in 
  3. Program Profile - designates allowed programs and entry windows for ticket scanning 

Create a Member Access Profile

Navigate to Access Control > Member Access Profiles.

  1. Click Create New Profile
  2. Enter a clear Profile Name and decide if you'd like to enable Auto Admittance (i.e. when scanning a membership that contains only 1 member, automatically grant access)
  3. Click Create
  4. Click the Edit icon next to the profile you just created to determine settings
  5. For the Access Control dropdown, make your selection:
    1. All Programs - enables scanning of ALL membership levels
    2. Specific Programs - allows you to designate specific membership levels for entry
  6. If you selected Specific Programs, click Add Program and select levels as needed

Create a Member Entry Profile

Navigate to Access Control > Member Entry Profiles. 

  1. Click Create New Profile
  2. Enter a clear Profile Name
  3. Select Type:
    1. Age based - requires your members' constituent records to have recorded birth dates in order to determine price types for member check-in 
    2. Single price - requires designating a single price type to associate with named members on memberships during member check-in 
  4. Select Sales Method: this is the sales method that will be correlated with the member check-in order when synced to Altru. [Best Practice: Daily Sales]
  5. Select Delivery Method
  6. Select Named Member Price Type(s)
    1. Click Add Named Member Price Type
    2. Select Program (must be daily admission)
    3. Select Price Type
    4. If using age-based price types, designate Age Start and Age End
    5. Click Add Named Member Price Type
    6. If using age-based price types, repeat Steps 1-5 as needed
  7. Select Unnamed Member Price Type(s)
    1. Click Add Unnamed Member Price Type
    2. Select Program (must be daily admission)
    3. Select Price Type
    4. If using age-based price types, designate Age Start and Age End
    5. Click Add Named Member Price Type
    6. Repeat Steps 1-5 as needed

NOTE: For Steps 6 and 7, you MUST select price types equal to $0 or price types that are automatically discounted to $0 for members. When Member Entry is used, the XTruLink system creates a $0 (zero-dollar) order in Altru to track guest count/tickets. All program prices selected for Member Entry must be $0 price types in Altru.

Create a Program Profile

Navigate to Access Control > Program Profiles.

  1. Click Create New Profile
  2. Enter a clear Profile Name and decide if you'd like to enable Simple Reentry (when enabled, this will add a "Re-Entry" option on your handheld. This is a simple count tracker. Any re-entries processed via Simple Re-Entry will not show in Altru reports but will appear on XTruLink Attendance Reports)
  3. Click the Edit icon next to the profile you just created to determine settings
  4. For the Access Control dropdown, make your selection:
    1. All Programs - enabled scanning of any program ticket
    2. Specific Programs - allows you to designate specific programs and scanning windows for entry
  5. If you selected Specific Programs, click Add Program and select programs as needed. For each selected program, you may click Edit to:
    1. Specify scanning windows before and after the program event times
    2. Limit Price Types (i.e. designate only specific price types for entry)

Create an Attendant Mode

Once your Profiles are prepared, navigate to Access Control > Attendant Modes. Click Create New Mode and enter a clear Mode Name. Then select your three profiles and click Create. You may adjust these selections and the profile settings at any time.
